Improving Communication in Hospice

You may not believe it, but more than 1,000 people are part of the hospice community. They all help us care for the terminally ill as volunteers, donors, ambassadors or supporters who are interested in, talk about and help bring the hospice message to the general public.

"Communicating by email was becoming time-consuming for us, so we were looking for a solution. Thanks to OSF we found it. We implemented software that saves us time and allows us to track which information is attractive to our supporters." Jana Matyášová head of fundraising and communication

More than 70 volunteers are involved in the hospice. They work without pay at the reception desk, in the tea room and at the bedside. The hospice is supported by ambassadors. Ordinary people who pluck up the courage go to the market with their skin in the game and organise a collection for the hospice. Also important are the supporters of the hospice movement who want to be informed and send information out into the world. And finally it is our donors - companies, foundations and private individuals. They send extraordinary or regular donations and help us provide kind care.

They are all part of our team, helping us to ensure a dignified passing among their loved ones.

We produce a newsletter, Snippets from the Hospice, for all of the above 4 times a year, which we send out by email. We feature interviews and stories from our clients and staff. We invite you to hospice events and let you know how we use donations.

What did we actually do in the project?

  • defined the criteria and selected the software

  • bought licenses

  • linked the new software to the contact database

  • improved the data handling

  • prepared a template for the newsletter and emails

  • tested everything

  • prepared forms for newsletter subscription and unsubscription

  • trained the staff

  • sent more than 8,500 emails

Benefits and impacts of the project

  • We are here for you. We have more time for our supporters. We don't waste it on administrative tasks.

  • We keep people around the hospice regularly and transparently informed.

  • Thanks to the software, we bring topics that are relevant to our supporters. We monitor which information is attractive to them.
